We’re a fast-growing prop-tech company with headquarters in Austin, TX and Guadalajara, Mexico, supported by 70+ team members across sales, onboarding, operations, and product. Our Business Development organization is large, fast-moving, and highly data-driven—and that’s where this role comes in.

The Role

We’re hiring a highly organized, detail-obsessed Office Administrator to support our Guadalajara office and our growing Business Development team.

This role sits at the intersection of data, onboarding, and office operations. You’ll be the backbone that keeps our sales org running smoothly—ensuring metrics are accurate, new hire classes are set up properly, and the office runs like clockwork.

What You’ll Own (Day-to-Day)

Business Development Data & Admin Support (Primary Focus)

  • Maintain and update Business Development team metrics in Google Sheets and HubSpot CRM

  • Ensure data accuracy, consistency, and timeliness across reports and dashboards

  • Support sales leadership with ad-hoc data requests and tracking

  • Keep onboarding, training, and performance data clean and organized

New Hire & Training Class Support

  • Help coordinate new hire onboarding for sales and operations teams

  • Set up training classes (calendars, materials, logistics, access)

  • Track onboarding progress and ensure systems are updated correctly

  • Partner closely with HR, Sales Leaders, and Trainers

Office Administration (Guadalajara Office)

  • Manage day-to-day office operations (deliveries, supplies, vendors)

  • Order office supplies and maintain inventory

  • Assist with scheduling meetings and preparing internal materials

  • Be the go-to person for keeping the office organized and running smoothly

Job requirements

What We’re Looking For

  • Exceptionally organized with strong attention to detail

  • Comfortable working with Google Sheets and structured data

  • Experience using a CRM (HubSpot is a plus, not required)

  • Able to manage multiple priorities without dropping the ball

  • Proactive, reliable, and comfortable supporting fast-paced teams

  • Strong communication skills in a professional office environment

  • In-office availability in Guadalajara
